    Dear TBMAers,

     

    Does anybody have a solutuion for the synchronisation of a GL record (invoice) and the Time Tracking registration one or several months earlier?

    You can easily synchronize time tracking and GL cost on the report. We do it for projects. We have models for cost, budget and forecast and metrics based on these models.

    We have model for Mandays too and mandays metrics. The mandays model use the same Project object like on cost, budget and forecast models.

    Report based on Project object can show metrics for cost, budget and forecast as metrics for mandays. It is possible to use Annual, YearToDate and TimePeriod functions for all metrics.

    We have the same challenge. And it impacts both the cost center operational world as well as projects. This is not a solution just a brainstorming in the hope we can find alternative solutions.

    What we do now is just expose both data elements in Apptio: We provide drilldown reports for managers to be able to see the Invoice and PO numbers generating actuals, and in the next tab we publish a table with PO, Invoice, resource name, hours and $s. Regardles of the timing of invoice payment.

    The current manual process of matching invoice and PO numbers (actuals vs timecards) then looking for names and finally hours is the big stumbling block. Adding the PO and invoice numbers is already challenging due to inconsistent formating in the applications involved, but relatively easy to fix. Matching individual names is a nightmare. In our case just not possible (for now).

    I will have our TBMA look to the proposal form Ivan above.

    Hi Robert,

     

    from what I can tell you have a time issue where the GL posting is out of sync with Time Tracking. This is something (as previously mentioned) that is often seen with GL costs and Project Management tool bookings.

     

    The way I have seen this approached is to open up the date partition on the Time Tracking data so it not just the current month, but a wider set of months to help the allocation flow correctly. Its not ideal, but does help with the allocation
