Hi all,
I'd like to share a story of how I was able to use Apptio to bridge a control gap by business over the governance over their Technology projects.
Background
- Leadership Team called for more robust governance for Business Managers over their respective areas' investments (projects)
- One of these is to ensure the recovery allocation rules, or the cost centers charged by each project, are being periodically reviewed
- The Service & Investment Controls report was created in Apptio to serve as the dashboard for relevant controls
- The controls for investments have been completed
- Controls for services (applications) are still ongoing, being worked on by another TBMA
- Targeted rollout is June FY2022 month end, but was already up and running by April.
Problem
- The review of the recovery allocation split for existing projects were either done by Business Managers manually and individually or not done at all
- Changes to project details by Business Managers may potentially have no sign-off by Business, or the sign-off is not tagged to the project
Solution
Discussions & feedback with the team led to the 2 controls to be used by Business Managers, built in Apptio:
- Static Allocations, showing
- Projects that are active i.e. still being charged
- But with no change in recovery rules in the last 12 months (current month vs M-12)
- Business Sign-Off, showing
- Projects that are active i.e. still being charged
- But with no business sign-off
- Recent governance standards require any updates to projects should have the corresponding JIRA listed in the Project Master List
- Assumes projects with blank JIRA fields have not made any recent updates
