  • 1.  Show all rows in time based query - multi year report

    I use few reports with Actual and Budget data from Actual Year, Previous Year and Budgeted data for next year. There are few changes in cost structure between years and I am trying to show all cost centers used in displayed years. Usually report shows correctly cost centers for actual year but cost centers for next or previous years are not shown, if not exist in actual year. I am working in apptio V11 and all items on report are published with option “Show all rows in time based query”. It seems like “Show all rows in time based query” functionality is working fine when displaying 12 columns with months for actual year but has a problem with multi year report.

    Hi Ivan,

    You are correct in that it is only showing rows for the current fiscal year.  To include rows from the prior fiscal year you need to publish the metric you are using to a perspective and check the box to show all rows in a time based query for that newly published field.  You will know this has successfully been applied when the data path includes:

    !ALL_ROWS[ppp:ffff->ppp:ffff]

    This functionality, unfortunately, is not that intuitive in R11.  If you have difficulties getting it to work then I suggest opening a Support case.  In R12 the functionality is being improved to be much easier to implement.

    Hi Isaac

    Now I get

    !ALL_ROWS[Jan:FY2016->Dec:FY2017]/

    so I should have correct data for Actual year and Previous year. But I need to get budget for 2018 to the report too. For next year I use function TimePeriod(metric, 12) and I have published the field and check the box to show all rows in a time based query. Is there any posibility to show all rows for 2018 (next year) in a report?

    Hi Ivan,

    I've tested this before and the functionality only looks back and not forward.  I suggest opening a Request for Enhancement with Support.  Keep in mind that enhancements are targeted for R12 so, if the enhancement is approved, you would still need to upgrade to have that functionality.

    Thanks very much for help. Upgrade to R12 is planned to Q1-2018.  Hopefully the enhancement will be implemented during 2018. Reports with three year comparison is wanted regularly during planning period in Q4 every year. Now I will do it partially in Apptio and the rest in excel.

    Have you spoken with your AM about Apptio IT Planning?  What you just described is native to that application and it integrates into both R11 and R12.

    Unfortunately the reports are on objects in model with drill down functionality. Apptio IT Planning does not provide such a reports.

    Hi Ivan,

    I did some more digging and found that I actually reported this as a bug and not an RFE the last time I looked into it.  Our Engineering team is looking into a fix for it in R12.  I don't think it will be available in Q1, but, hopefully we can have this working for your next planning season.

    Thanks for all the advices and recommendations. It helps me to improve existing reports and I have big expectation for next year planning cycle hopefully in R12 already.
