  • 1.  Monthly Close in Apptio

    Thought I'd start a discussion and see what kind of responses we get. 

     

    If you are kind enough to respond, can you answer the questions below?  Feel free to add any additional commentary to your monthly close process at your company.

    1. Approximately how files are loaded into Apptio on a monthly basis for your particular instance?
    2. What file is the last one you generally load?

     

    We load approximately 30 files each month.  In the next couple of months, we are probably going to be adding an additional 20.

     

    Our cost source (i.e. general ledger) is the last file we generally load into Apptio and it's generally finalized by the 20th of the month following the month closed.  Wish we could get it sooner so that Apptio users could have the cost information for Total Cost of Ownership (TCO) sooner in the month.     We usually shoot to have all of ours loaded by the 15th of the month.  Yeah, we were in the same boat - wanting to get folks their TBM costs sooner, but it is what it is unfortunately - we, too, have to wait on Accounting to close out the month, and we have to wait on other groups to provide data as well.  We have thankfully 'conditioned' folks (probably a very bad way of saying it ha) to expect their reports at the end of the month.  We still have to have time to load data and get the reports ready (but, too, we're not using OOTB reports yet and folks aren't in the system yet - we're still pulling data and spinning it up in Excel for them).  And for any Apptians reading (hehe), we are working toward using OOTB and getting folks into the system.

    The majority of our data files are due by the 5th business day of the month with the IT Finance data (including GL) and one vendor due by the 10th of the month.  We promote to PRD on the 3rd Friday of the month.  We initially loaded approx 25 files per month, now we average 70 monthly files with additional quarterly and annual files.

     

    We previously published Excel reports monthly and Power Point BU/Site specific quarterly presentations which took weeks to complete.  We are now 100% self-service with Apptio available via SSO to the enterprise.

    We load just over 30 files, doing the same as you and load the Cost Source last, but this is usually finalised and given to us on working day 4. We then sit down with Finance on working day 5 to do some checks and make sure that their files match up with Apptio, and then promote to Prod overnight so that users can view the data on WD6.

     

    I guess our accounting team manage to close out the month quite quickly compared to everyone else!

     

    Also, we're all online and have our users utilising some of our reports in monthly cost discussion meetings

    Very interesting discussion.

    Since our primary use case is to enable monthly financial performance accountability, we are driven to report data ASAP.

    We load around 40 files per month. Happy to report 25 are automated through Datalink. The complete data loading cycle starts on business day 2 and finishes by business day 7. Our SLA is to publish on business day 8 the previous month data to production. Testing is limited to high level KPIs and sample report functionality, with a quick response to incidents reported by end users if/when they find issues. 

    Business days 2-5 are for datalink files, starting with the Service Now files, followed by files from Oracle Cloud. The GL file is automated and delivered on day 5. Days 6 and 7 are when we load manual files. The last file loaded changes each month.

    We loaded around 90 files per month. In order to have them ready as fast as possible, we split them in BoIT and CT; then we start the calendar month uploading CT files (oracle, Service Now files ...) using Datalink, and files are uploaded as soon as they arrive; then we have our "push to production" day early in the month and a 2nd at the middle of the month. 

    By this time almost all the files for BoIT already arrived but we wait until 2nd push to production pass, then we upload all BoIT file using the same methodology
