Hi, this is Shannon, and in this video I’ll walk you through the workflow in IT Planning. Whether your company is doing budgeting, forecasting, or other resource planning with Apptio’s IT Planning tool, the general workflow is the same.
First, your Budget Process Owner and planning team will create a plan. This may be a budget or a forecast. It will have a name and it will be pre-defined based on any decisions the planning team has made about the plan. For example, it might include targets to identify how much has been allocated to the budget you own. Or, it may include some custom layouts to make sure it’s easy for you to enter the data they need to capture from you.
Next, the Budget Process Owner will open the plan. This will trigger a notification to you that the plan is open and ready for you to edit. When the plan is open, you can login and enter your data. For example, you may enter adjustments to a budget. Or, you might be asked to enter your headcount or asset needs for the next quarter’s forecast. While a plan is in the OPEN state, you can make changes to your plan.
Once you’ve completed your edits, you will submit your plan. This will trigger the approval process to begin. If any approver in the approval chain rejects your plan, it will be returned to you. You’ll receive an email and you’ll have the ability to login and make additional adjustments. Then, you’ll submit again. Once your plan is approved, you’re done.
The Budget Process Owner will finalize the plan once all the plans from all the plan editors have been approved and rolled up into the final plan. This plan will still be available to you, but it will be marked FINAL, and so will be available to view, but not to edit.
