I am having trouble finding any rhyme or reason to what period IT Planning is pulling from when you import reference data from Cost Transparency? I'm sure there is some rule (pull from month data was last upload, pull from project default period, pull from first month of budget period, etc.). I have some reference datasets coming in correctly and others are blank, and it doesn't seem to align with any of these scenarios.
So my question is how does ITP determine what month it will pull data from in Cost Transparency if the data is monthly uploads?

Hello Christine,

According to me (Apptio to confirm) it takes the info of the month according to your ITP import date. So if you are today the 10th of March it will take the data of March FY2022 of your CT dataset especially if you defined your dataset in CT to be a "monthly versions (update every month)".
If your dataset is defined as an "ad-Hoc update", it will take the information of your latest month upload (can be JAN Fy2022 as an exemple)

Thanks @Philippe te Kolsté. I did some experimenting to test your explanation out and it seems accurate! Results are below. Thanks again!

I'd be interest to hear from Apptio if there's any way around this. Like if you're updating ITP to start the budget cycle in mid-October, but the last time you uploaded a list of cost centers was in September (because October's update will be done at the end of October for CT purposes), so ITP pulls in a blank dataset. Ad Hoc uploads seems like the most obvious answer, but there are instances where changing all the related datasets to Ad Hoc uploads is not ideal and would like to avoid if possible because monthly uploads helps to add an extra check to ensure data is updated and not just carried forward.

Assumptions of Experiment:

Current Date: Today is March 15, 2022 (March FY2022)
Fiscal Year: Fiscal Year runs from Jul-Jun

Scenario 1

Table’s Settings: Monthly Uploads

Uploaded Months: Jul FY2022, Aug FY2022, Sep FY2022, Oct FY2022, Nov FY2022, Dec FY2022, Jan FY2022, Feb FY2022, Mar FY2022, Apr FY2022, May FY2022, Jun FY2022

Results*: March FY22

 * Results=file ultimately imported to ITP through "import from Cost Transparency"

Scenario 2

Table’s Settings:  Adhoc Updates

Uploaded Months: Jul FY2022, Dec FY2022, Mar FY2022, Apr FY2022

Results: March FY22

Scenario 3

Table’s Settings:  Monthly Versions Update Every Month

Uploaded Months: Apr FY2022

Results: None, upload is blank

Scenario 4

Table’s Settings:  Adhoc Updates

Uploaded Months: Jan FY2022, Apr FY2022

Results: Jan FY2022

Scenario 5

Table’s Settings:  Adhoc Updates

Uploaded Months: Apr FY2022

Results: Apr FY2022
