  • 1.  Use of Job Plans or Inspection Forms for Technicians when performing PM and PdM

    With the new Inspection Functionality in Maximo (and extended to mobile with many of the third party applications such as Data Splice and EZMax Mobile), I'm beginning to see examples of Inspection Form use for FMEA oriented preventive maintenance and inspection routines.  These forms seem to be replacing the traditional use of job plans by incorporating the tasks into the Inspection Form itself and supplementing these tasks with condition based questions that trigger alerts and/or work orders.  This begs the questions whether to build out a job plan library or an inspection form library in Maximo OR are both necessary – just serving a different purpose (i.e. job plan also used to post cost to a WO). 

     

    Curious what the community is seeing from its customers.  What do you see as the pros/cons and general considerations of using the Inspection Forms in this way?

    The use of Job Plans for Inspections requires the creation of a WO for each Asset or Location being inspected.  This has always been a significant drawback of doing inspections in Maximo.  The creation of a WO for activities that may only take a few minutes and are not going to be scheduled or charged individually adds a huge burden to the system.

    The Routes application was introduced a long time ago to support Inspections.  It allowed a single PM to be used to generate a number of inspections by associating a Route with a PM rather than creating and maintaining a separate PM for each Asset or Location to be inspected.  However, it still required the creation of a Child or Task WO for every Route Stop and it is was necessary to capture readings, measurements, and/or observations at each Route Stop, then a Child WO needed to be created for each Route Stop with a Job Plan to generate Tasks for each reading, measurement, and/or observation.

    The MultiAssetLocCI object was added more recently and partially addressed the problem by allowing Route Stops to become MultiAssetLocCI record rather than a Child or Task WO and generating only a single WO for the entire PM and Route.  However, this functionality only allowed tracking the completion of the inspection at each Route Stop with no ability to enter readings, measurements, and/or observations from each inspection.  This severely limited its usefulness as it only worked well for simple inspections where the same activity was being performed on each Route Stop and/or there was not need to capture results for each Asset or Location unless a problem was found, in which case a Follow-Up WO could be generated for each Route Stop with a problem.

    With the addition of the Inspections functionality, Inspection Forms can now be referenced on Route Stops in the Routes application allowing a MultiAssetLocCI to be generated for each Route Stop and still be able to capture results of the inspection for the Asset or Location on each Route Stop.  The Inspections functionality is a huge improvement to Maximo and has been improving with each release since it was initially introduced.

    Of course, if the inspection of a single Asset or Location is going to take a significant amount of time or resources, a separate WO should be created for it so it can be properly planned, scheduled, and charged.  However, it would still be preferable to reference an Inspection From on the WO to use for capturing results rather than using a Job Plan to generate a Task for each reading, measurement, or observation that may need to be captured.

    Hi Nancy

    I have implemented a range of inspection forms for multiple clients mainly in the PM space.

    Clients have used inspection forms where they are wanting to use it as a confirmation that the maintenance Techs have been doing there job and as an easier way to capture meter readings, add photos etc.  With the use of EZMaxMobile we have also been using it as a sign off sheet with the support of a signature field.  

    Inspection form Vs. Job Plan Task.  I have used the following logic when applying Inspection forms. Used for visual tick and flicks that then require meter readings (ODO, Condition, Gauge, Levels) and now with the conditional settings in forms this is what alot of our clients have been wanting. I still revert back to using job plan tasks when it call out for a task to be done ("Replace", "Change" etc).  This is not to say that you cannot use it the inspection forms to have a task based questions, again it just bares the question "What are you wanting to achieve from this?".

    I have implemented through routes as records on the Multi Asset Table for when the client has not wanted to have a WO per asset/inspection form.  This has worked for their solution, which was only a monthly inspection.  However for the 1/3/6/12 month checks if you are wanting to use the same method it still does require a Job plan to be created for each of the relevant inspection periods and and the associated Inspection Form.  Then when it comes to the PM set up it requires a PM created against each of the interval route stops, now instead of using a single PM with sequenced JPs (PM per asset) you now need to manage multiple PMs.  Also with this method take into consideration that if an asset is moved then you also need to manage the number of routes that they asset is in.  The main question to ask if doing this method is what data are you wanting to capture here?  If i am using this method i will typically keep this to weekly/fortnightly/monthly inspections.

    Great question.  The Inspections object created and introduced recently does in fact address the limitations of trying to perform said inspections using Job plans.  The use of Job plans was not designed for that as you well know.  However the design intent of Job plans has not changed nor the need to have technicians equipped with a set of instruction when performing true Jobs, not inspections (whether a PM or CM work type right? πŸ˜‰)

    As Julio and Brent point out, Routes and the Multiassetlocci object have additional benefits but not directly for the Inspections.  And Routes can be used for typical Oil and lube operations for which you will not cost the materials or labor to any one asset or location.  For more involved maintenance the cost may be allocated with the use of the multiassetlocci (gee whiz! what an awful object name!) so that costing of maintenance activities may be improved.

    So with all that said, I do not see the use of Inspections forms and Job Plans as exclusive. I see them as cumulative.  When you have an Inspection work order you may create follow up work based on said Inspection and then a planner may use a Job Plan library (some perhaps built from inspection findings? πŸ‘πŸ»πŸ˜‰) to address deficiencies. Other JPs in the library might come from O&M manuals for corrective and routine periodic maintenance, as well as industry/tribal knowledge on "what to do" when something occurs to any given asset or location requiring a maintenance "activity" for said asset/location.
