    I am trying to add items to my storeroom in Maximo without affecting the average cost. Here's the use case:

    When I purchase 100 items, I receive 5 additional items for free. However, I want the average cost calculation to only apply to the 100 purchased items, and not include the 5 free ones. Additionally, I want to receive items for free,but I want the average cost in the storeroom to remain unchanged.

    I've already tried adding a purchase order line with a cost of 0, but this still affects the average cost. What approach can I use to ensure that free items are added without altering the average cost?

    Hi Youssef,

    You can add a record to Inventory Balances or use Inventory Adjustments - Current Balance, neither changes the average cost. Verify your GL Debit and Credit Accounts, but I think they will be OK, i.e. treat this as an inventory adjustment rather than a purchase receipt.

    Hi Youssef.

    In Receiving you cannot change the cost that is on the PO Line. 

    You could revise the PO and add a new line for the quantity for the free items with zero cost, but that wouldn't work because adding a quantity at zero will still adjust the average cost (downwards). If you tried to do anything on the PO with any positive cost you then effect the PO price.

    I think best to just treat as an Inventory Adjustment.

    As an alternative if you make the item condition enabled and have a condition of FREE/FOC etc with a rate of 0 then when you put these on the PO at zero cost then the Average Unit Cost for these condition items should stay at zero.

     

    May need some more detailed testing but from what I can see this could work

    If you are using Average Cost as the cost type for Inventory, and want to add a balance of 5 for free on a PO Line, then you have two choices:

    1. Set the Unit Cost of the PO Line to be zero. This will make the items free of charge, but adjust the Average Cost of the Inventory item down to account for the 5 free items. The total cost of those items in Inventory remains the same, but the Average Cost goes down as you are adding more quantity.
    2. Set the Unit Cost of the PO Line to the current Average Cost of the item in Inventory. This will cause the Average Cost to remain the same, but technically those parts are no longer free. And obviously, I think you are trying to avoid having cost listed on the PO for these items.

    @Andrew Jeffery's suggestion of adjusting the Average Cost after the purchasing process has gone through will likely give you the desired outcome, but it should be noted that doing so will not make the items "free of charge". You will be manually adding the cost of those items to Inventory rather than paying for them via the PO.
