Email to Distribution Lists

    CA 11.0.13

    Note: These DL's and Contacts are in our Active Directory Namespace not the Cognos Namespace.

    In sending emails to distribution lists, we are seeing the following issues:

    1. If we type the name of the email distribution list in directly as the recipient - DL1@companyname.com
      DL1 contains say 10 individual email addresses.

      The report completes, indicates that it has sent the report to 1 recipient, but no one receives anything.
      However, you can individually key in the same 10 email addresses and everyone will receive the report.
    2. If we select the Distribution List from the available DL's in Cognos - DL1_DL (contains the 10 defined Cognos users).
      Everyone will receive the report, but the "To" in the email will list all recipients.
      We want it to just list the name of the DL not all the individual recipients - It looks very sloppy if a report is distributed to many recipients.
    Any thoughts would be gratefully appreciated.

    Can you put email distribution list  to Cognos DL and see if it sends to all of them correctly without showing the name?

    However, that doesn't seem to work either.

    I tried two different ways.  Firstly, creating a distribution list in the Cognos namespace referencing the AD namespace entry and secondly, creating a new distribution list in the Cognos namespace with defined Cognos users.
    In both cases when I ran the report, the "To" names are exploded to all recipients.

    Also, of interest, the only way I could use the distribution list was to use the Classic View for submitting the report.
    When I tried the new CA view and searched for the distribution list I could not find them - Even though I can see them in the Administration Console (and I know they exist because I can search and select in the Classic View).

    Again we are on CA 11.0.13 - Is there a known bug?

    In CA 11.0.9, we are able to send email to DL group without adding to Cognos Distribution List.

    Can you try to put Cognos DL in BCC list and see if that works for your need?

    Hi Buddhi,

    We are currently having this issue as well.  If we list out the email addresses, the Cognos report will send to them; however, if we input a DL that pulls from Active Directory, the report will not send to the members of that DL.  We are currently running version 11.1.7.  I have tried two different reports and DLs and I have tried putting the DL in the BCC list.  Any other suggestions?

    Hi Adam, is your distribution list email address capitalized?

    My company is having very similar issues with our distribution lists and emails, but it only occurs when an email has a capital letter in it. Our theory is since Outlook will automatically receive all emails case insensitive usually, something is happening when it comes from an external email with a non case matched address. We've tested this out by adding an alias that is fully lowercase with extra periods to substitute for spaces between the team name, since Outlook will still think the capitalized version and lowercase version are the same thing otherwise. It's really weird that this happened and I haven't found any other articles talking about this issue so just wanted to let you know to give it a try if this applies to you!

    Having migrated recently from on-prem to Cloud, we have found this with Cloud emails - the email address seems case sensitive

    In my experience, this is how emailing AD groups has always worked.  I have used this to my advantage as we often have AD groups with no equivalent email DLs, but Cognos will let you email an AD group.  If this is a problem you could always use the BCC field
