Determining when to go Mobile with Maximo

How does your organization or facility determine how/if Maximo and Mobility will be utilized? I would love to hear more about your rule of thumb when it comes to determining what constitutes a project versus standard work orders?

    Hi Lourdes,
As you can imagine there are both subjective and objective elements in your decision

The most subjective came from large scale communication with the users (in our case being people who inspect lengthy linear assets on a routine basis) and whether users are savvy with smart devices.

Te objective came from a) reduction in travel time and associated issues of distance and fatigue management. b) Increase in efficiency  and accuracy of data entered through capturing the data at the work site.

From these and a few other parameters the business case stacked up easily.

Implementation challenges such as data protection over a 4G network, connectivity and reliability were managed out but the biggest impact was the requirement to restructure a large amount of asset and PM Task data plus introducing metering to the users.

We resisted most of the users feedback who assumed that Maximo Anywhere functionality was similar to the desktop functionality since the expertise to customise the out of box apps is a new skill base.

In other words - do not embark on this journey without strong change management and a very good developer resource if you agree to customise the apps.

Finally, you will need strong planner/scheduler and supervisor roles.

Bottom line - we got it working, its simple to use to achieve the business process steps it is designed for. We discovered so many new requirements we could have added if time and funds permitted.

    Hope this helps

    Cheers

    Geoff

I know that this is a somewhat older thread at this point, but I hope it's not too late to chime in!

Chet, I think that's a really great article, and poses a lot of good and important questions about how to effectively mobilize a workforce. The question that I think may be missing from the list, is "why?" Why are you mobilizing your workforce? What are you hoping to improve/achieve by introducing mobility, and how will you know when you've done it?

Obviously, there are a million potential reasons that an organization would want to go mobile, but if there is no clear objective other than checking the "we're mobilized" box, then it will be hard to identify the best solution or approach. The reasons don't have to be complicated, but they need to be understood - are you hoping to speed data entry? Are you hoping to provide contractors with a low-overhead way of logging data? Are you looking to cut costs on maintaining an expensive fleet of ruggedized laptops?

Geoff Stokes outlines a few of the motivating factors for his organization ("a) reduction in travel time and associated issues of distance and fatigue management. b) Increase in efficiency  and accuracy of data entered through capturing the data at the work site."), so I'm guessing that with clear objectives, they were able to recognize the finish line (of the first stage, anyway) and know when they'd reached it.

There's no "best" reason to go mobile, but it is important to understand the drivers (business, technical, or otherwise) that will shape your solution, and ultimately allow you to determine whether you've been successful in meeting your objective(s).

A long answer to the original question of when to go mobile with Maximo could be, "the time to go mobile with Maximo is when you can identify and evaluate the benefits that will be gained by going mobile, and determine that those benefits justify the cost (upfront and ongoing) of mobilization." The short answer is, like with a lot of things, "It depends."

It's not a very exciting (or clear-cut) answer, and that time will be different for every organization, but it's important to consider.

Of course, if "going mobile" (with whatever solution you choose) provides the opportunity to deliver new capabilities, or greatly simplifies the day-to-day work of the users, it can be a very simple calculation to justify the expense. If going mobile introduces new challenges or makes day-to-day life more difficult for the users (maybe there's limited data available offline, or it's not quick/responsive to user input, etc.) the calculation may not be so straightforward.

A lot of that leads to a bigger/different question, which is "what makes mobility successful?" - but that's a question for another time!

Full disclosure, I do represent a company that sells a mobile solution for Maximo, but this is fundamental to our approach, so I hope it's helpful for someone.

Going mobile with Maximo can be an expensive project, especially if your business tries a third party software solution.  To date, our company has invested over $250,000 in a third party solution that has failed.  The hardware that is required and the Wi-Fi set-ups that are required should be linked to several different aspects of your business and not just Mobile Maximo.

When the Wi-Fi is set-up correctly you can skip purchasing a Maximo mobile software solution and link laptops or tablets to your core Maximo System.  At this point, if you decide to use tablets, make sure that the end-users like how they work and feel, because if they don't your Maximo Mobile effort will fail.

In my experience the decision to go mobile with Maximo can be distilled down to a few key components.

    - Mobility enhances the quality of the data in Maximo. It allows you to enforce work management processes such as recording failure codes for corrective work, enter notes, update meter readings, start and stop time, etc.

-Mobile enables efficiencies in data capture. It allows you to update inspection data, add media such as pictures, etc, in to the maximo database, as opposed to paper forms that filed or need to be scanned into a repository. This data can be used to analyze asset performance, report on compliance, and various other business components.

    - Mobile enables efficiencies in work management performance. It allows you to get more work performed by eliminating the data entry sessions at the end of the day. It allows the work performer to have all their work in an organized fashion to help them move form job to job without requiring them to return to the office. It allows you to dispatch work to users in the field.

    - Mobility enables additional efficiencies. Mobile applications provide the ability to created follow up work orders, record incidents, and other service requests in the field at the point of performance. This enables faster response and resolution times to issues.

    - Mobility makes maximo easier. Mobile applications can be configured to provide 'just what the user needs' reducing the complexity of use and training required by the skilled trades.
