    Hi, I got a question from a client if there are any best practice on how to use the fields on the work order. In the documentation it is just a description about what the field contains and sometimes from where the informations comes. But I cannot find any good guidance on how to use the fields to make sure work orders are assigned to the correct people/groups. 
    What I have seen is that alost every client is using the fields in their own way and have been creating queries and functionality around different fields. But I'm looking for some documentation on what is the original thinking from a Maximo design perspective.

    Field:                  Supervisor

    Table.Column: WORKORDER.SUPERVISOR

    Supervisor of the work. Maximo copies this information from the job plan, if there is one. You also can select a supervisor.

     

    Field:                  Crew ID

    Table.Column: WORKORDER.CREWID

    ID for a given crew within an craft

     

    Field:                  Crew

    Table.Column: WORKORDER.AMCREW

    Defines the Crew who will be copied to the work order created with this job plan.

     

    Field:                  Lead

    Table.Column: WORKORDER.LEAD

    Lead person responsible for the work.

     

    Field:                  Crew Work Group

    Table.Column: WORKORDER.CREWWORKGROUP

    Resource pool that will perform the work order.

     

    Field:                  Work Group

    Table.Column: WORKORDER.PERSONGROUP

    Identifies the person group responsible for the work. Person groups are set up in the Person Groups application.

     

    Field:                  Owner

    Table.Column: WORKORDER.OWNER

    The person currently responsible for the work order.

     

    Field:                  Owner Group

    Table.Column: WORKORDER.OWNERGROUP

    The group currently responsible for the work order.

     

    Field:                  Service Group

    Table.Column: WORKORDER.COMMODITYGROUP

    Defines the service group for the work order, for example: IT, production, facility, or fleet.

     

    Field:                  Service

    Table.Column: WORKORDER.COMMODITY

    Defines the service for the work order, for example: customer support, painting, print, telecommunications, and welding.

     

    Field:                  Vendor

    Table.Column: WORKORDER.VENDOR

    Identifies the vendor responsible for the work.

    For instance:. Owner and Owner Group are related, and are set via the Select Owner action.  Changes to Owners and Owner Groups are recorded in the Work Order History.  That doesn't happen for the Supervisor and Person Group fields.  The crew fields have other functionality associated, which is explained on the Maximo Secrets site.

    It really depends on how the work is organized.

    My take is:
    - if work is done by multi-craft crews, using the crew functionality is probably the way to go.
    - If not:  use Owner and Owner Group if there's a formalized process, particularly if work orders are being frequently moved between different departments/groups and it's important to track the trail of ownership/responsibility.
    - On the other hand, if there's an informal process and work orders tend to be assigned once, probably Person Group is fine.
    - Vendor is, IMO, literally used for work orders that are being contracted out to an outside company.

    If the group of people and tools work together for the full day all working together to complete all WOs assigned to them Crews functionality could be the right way to go.  This allows you to plan work to the type of crew and assign work at the crew level.  Managing who works on the crew from day to day is independent of the planning and assigning.  I have posted some older but still valid information about crews on the IBM community - https://community.ibm.com/community/user/iot/viewdocument/maximo-crews?CommunityKey=7f1637b5-e23d-4694-a843-ab9c5b205d49&tab=librarydocuments - Maximo Secrets is a great resource as well.

    Pulling a few things from my memory banks.  Who is performing the work should be handled via assignments  The Owner/Owner Group is used to understand the person or group with overall responsibility of the work, but may have nothing to do with actually performing the work.  The dialog used for this does have some interaction between the fields.  Supervisor, probably the oldest of the fields here, is used for specifying who is the supervisor for the job.  Lead is the person that is overall technically responsible for the work and will default from the work group selection based on the sequence and calendars. 

    Of course, sometimes assignments can be overkill and owner or lead is fine.  So, yes, it is a bit of how each client wants to leverage these fields (as well as the crew work that Lori described).

    Thanks all for input, there are some goodies out there but it it seems like the use of the responsibility fields are a bit different for every client and also sometimes also within organisations..
