In Maximo, spare parts are non-rotating items defined in the Item Master application and associated with assets at the site level. These parts are essential for maintaining assets efficiently and are especially useful during work order planning and execution.
⚠️ Note: Spare parts cannot be tool items and cannot be associated with locations.
🛠️ How Are Spare Parts Added?
Maximo offers multiple ways to associate spare parts with assets:
- Manual Addition
Add directly via the Spare Parts tab in the Asset application under spare parts section using the “+” button.

- Template-Based
Automatically added when an asset is created from or updated with a template. (Go to Asset templates > Create New template > Add spare part and make template active > Go to Asset Application > Create new asset/ Use existing Asset > Apply template from Asset templates option > Spare parts added in asset template will be visible under the spare part tab of current asset)

- Automatic Addition
When an item is issued to an asset and the “Add as Spare Part” setting is enabled in Item Master (Go to Asset Application > Create new asset/ Use existing Asset >From left panel search for Issue items from storeroom > Click “+” from associated items > Add any non-rotating item > Item will be visible under spare part)

- Item Assembly Structure
If an asset references a rotating item with an assembly structure, spare parts can be inherited. When an asset is associated with a rotating item, and that rotating item has an Item Assembly Structure defined in the Item Master, applying the structure in the Asset application will automatically populate the Spare Parts tab with the non-rotating items from the hierarchy.
⚠️ Important Condition: If the Item Assembly Structure does not contain any items, applying it will not result in any spare parts being added—even if the asset is linked to a rotating item.

The MAS 9.1 release brings spare parts functionality directly into the hands of field technicians via the Technician Mobile and Role Based Application (RBA) apps. Here’s what’s supported:

- If the Work Order Has an Asset (Primary Asset)
- Navigate to:
Report Work Page > Materials Used > 3-dot menu > Select as Spare Part
- View all spare parts associated with the asset.

- Navigate to the same section and use the “Select Asset” option
- Search for any active/operating asset to view its spare parts.

- Add parts to the work order.
- See newly added parts under Materials Used.
