BLOG 1: IBM MAS9 - Asset Management - Know your Assets

This blog post kicks off a series of five blogs sharing insights and best practices gathered over almost four decades in asset and maintenance management. I began my journey as a corporal in the Dutch Royal Navy and have held various roles like Maintenance Engineer, Reliability Engineer, and Head of Maintenance in different industries. Since 2006, I've been using my expertise to implement IBM Maximo / IBM MAS for major clients struggling to grasp their asset's overall condition and health, often not knowing where to start. Drawing from this experience, I crafted an Asset Management Maturity Roadmap. This roadmap focuses on evaluating the current maturity level (As-Is) and creating strategies for improvement. From my experience, I've found that taking small, practical steps leads to more success than aiming for big, unrealistic changes.

The maturity approach we're talking about here is actually based on a Business Capability Model (developed for /by ZNAPZ). This model shines a light on the key areas within a company that focus on asset management. These areas are neatly sorted into primary domains and supporting domains, all under the watchful eye of an information domain (we like to call it master data) and a Governance domain. Each domain houses various sub domains that handle the nitty-gritty admin work for a specific primary or supporting domain. And within each sub domain lie the coveted business capabilities and the underlying business features. The cool part is that we've linked each business feature to a specific IBM Maximo functionality. This way, we can now easily figure out which business features are needed to meet the requirements and reach a certain level of maturity (BCM is mapped against the ISO55000 framework).

Knowing the business features doesn’t automatically guarantee that the customer can provide the essential information (the “data”) or the supporting processes and RACI responsibilities (the “process”).

Step 1: Know Your Assets - The Foundation of Effective Asset Management with IBM Maximo Manage

In today's fast-paced business environment, where efficiency and cost-effectiveness are critical, effective asset management has become a cornerstone of operational success. Whether you're managing a sprawling industrial plant, a city infrastructure, or a large corporate IT network, the ability to understand, monitor, and maintain your assets is essential. This is where asset management systems, like IBM Maximo Application Suite Manage (a.k.a. MAS9), come into play, helping organizations gain control over their assets and optimize their performance.

But before you can optimize, streamline, or improve anything, you must first know your assets. This is the crucial first step in any asset management strategy, and it's one that lays the groundwork for everything else. Here's why this step is so important and how IBM Maximo can help you achieve it.

Why Knowing Your Assets is Crucial

  1. Informed Decision-Making: To make sound decisions about asset utilization, maintenance, and investment, you need a clear understanding of what assets you own, where they are, how they're performing, and what their lifecycle stages are. Without this knowledge, decisions are based on guesswork, which can lead to inefficiencies and costly mistakes.

  2. Risk Management: Knowing your assets also means knowing the risks associated with them. Are there assets that are nearing the end of their lifecycle? Are there critical assets that, if they fail, could disrupt operations? Identifying these risks early allows you to mitigate them effectively.

  3. Compliance and Reporting: Regulatory compliance often requires detailed reporting on asset conditions, maintenance histories, and more. An accurate inventory of your assets makes it easier to comply with these regulations and avoid potential fines or penalties.

  4. Cost Optimization: By understanding your assets, you can better manage maintenance schedules, avoid unnecessary repairs, and optimize asset performance. This leads to significant cost savings over time, as you extend the life of your assets and reduce downtime.

Building Asset Management Maturity: Step 1 - Know Your Assets with IBM Maximo

Asset management is more than just tracking what you own—it's about unlocking the full potential of your assets to drive operational excellence. To achieve this, organizations must approach asset management with a phased maturity model that guides them from basic asset awareness to sophisticated, data-driven optimization. In this blog, we’ll explore the first phase of this journey: Knowing Your Assets. We’ll also discuss how IBM Maximo can support this critical phase and the business value gained at each maturity step.

The Phased Maturity Model of Asset Management

Before diving into the details, let’s outline the five maturity steps that define this model:

  1. Asset Identification and Registry

  2. Basic Asset Tracking

  3. Preventive Maintenance

  4. Condition-Based Monitoring

  5. Predictive Maintenance and Optimization

Each step builds on the previous one, gradually increasing the sophistication of your asset management practices and the value you derive from your assets.
