Currently, the subscription emails only support the inclusion of PDF documents. However, we are actively working on enhancing the functionality to allow you to export a snapshot of an entire report to PDF in a more ad-hoc manner. We anticipate releasing this feature in early Q4.

Hello everyone, we have a pair of an exciting release to share with you this week (see our Help Center for context) to share. This discussion post will focus specifically on the the ability to include a PDF of your reports in subscription emails as attachments. View the Filtering "Other" Values post here.
PDFs sharing through subscription emails
Share customized, or executive-ready out-of-the-box reports populated with relevant content to your business when subscribed or subscribing others to a report. Let's talk through the impact of this release, but please follow the links in this post to learn more.
Customers wanted the solution so they can send and receive reports content directly to their email without extra steps, as subscriptions and sharing is an essential piece of what makes BI possible.
It is common that Executives such as VPs and CIOs, do not login into Apptio systems while at the same time will request data to be delivered to them so they can make key decisions and act on insights from the data. This release brings these uses into the platform's UI in a manner of speaking without needing to do any work. In addition, other key stakeholders may not be aware of the analytical potential of Apptio BI which can help them to locate opportunities within the data for their respective business or business unit.
To create a consistent experience when sharing reports across Reporting, Insights, and Action Plans, subscription emails now allow users to receive automated emails that are both intuitive and accessible, with data / reports available immediately regardless of the email client or user's device. This is another step towards making BI a more collaborative, centralized location for distributing data visualizations across multiple dat sources, improving integration capabilities and the reporting services BI offers to a wider range of users (not just those who access BI directly).
This long-awaited feature builds on our report subscription email to notify users, providing views of visualizations that can be downloaded in PDF format, and shared without having to follow a link to the Apptio BI dashboard to access the information within. This is a precursor to sharing any report in PDF form, but serves a key need by saving report creators the time to ensure recipients have the permissions and know-how to login to Apptio BI to access the data, while simultaneously making visualizations easier to share in a standardized format and keeping them consistently informed on a cadence you specify.
To this end, it also ensures, based on permissions, that those subscribed to the report will only be able to view the data within pertaining to their granted permissions. In overhauling the subscription process, when users now subscribe themselves or others to a report, Apptio BI will automatically export the report as a PDF document as a piece of you subscription email, alongside the report name, context provided and any additional notes so users will always be able to view a review the report without logging in. The email also contains a link to the report in the application, when the report was sent and created, its title and associated data within that you can access.
Please Note: Before you can receive reports as PDF documents, an administrator (e.g. DSM) must provide consent to share sensitive data outside of Apptio BI on a per data source level. For more information on sharing data, see Data Source Permissions. Any visualization that uses a blocked data source is removed from the PDF document that is sent through the subscription emails automatically.
