Datalink Email Notification

Question: I have a user who is not listed in the Notify field in DataLink manager, and yet he is receiving email notification about DataLink upload validation failure, see screenshot of the email below. Why is that? And how can I take him off such email notification?

 

Answer: Per KB article Configure Agent email notifications, there are two types of email notifications that may be sent when a DataLink connector runs:


One is an email notification sent by DataLink which is based on the success or failure of the connector run. It is not based on the validity of the data loaded into the Apptio application.

The Apptio application can send out a separate email notification based on the validity of the data that was uploaded. The Apptio application's notification will be sent to all Apptio application users assigned to a role containing the "AdministerDatalink" permission.  Examples are the "Admin" and "Datalink Admin" roles.


The email in the screenshot the customer receives (shown below) is about the validity of the data uploaded. This means the user has been assigned either the "Admin" or "Datalink Admin" role in the Apptio application; this email was not sent as a result of the configuration of a DataLink connector. If you remove the "Admin" role and the "Datalink Admin" role from the user in the Apptio application, he will no longer receive such notifications.

I believe the Admin role is envisioned to be a convenient way to grant admin permissions across the entire Apptio suite. We still also need a role specific to administering DataLink. I see your point about not always wanting to broadcast the DL notifications to all Admins, and this has been addressed in R12.

 

This article applies to R11 and DataLink. In that scenario, DataLink sends a notification according to the connector config settings, and Studio may send an email to Admin/DataLink Admin users for validation errors.

 

In R12, Studio sends validation information to DataLink, and DataLink includes it in its notification. In other words, emails are no longer sent to Admin/DataLink Admin users in R12.

I'm unclear on the point of having an Admin role versus a Datalink Admin role, if both roles can Administer Datalinks.  It seems to me that customers could potentially want to have people that are Apptio project admins but a separate set of people who handle the Datalink piece.  The way it's set up now, all the Admins - even the ones who don't touch Datalink - will get Datalink notifications.  Why not just make it so that only Datalink Admins receive Datalink notifications?

That's correct, we will revise this doc for more clarity. Specifically either role will receive notification because each has "Administer Datalinks" permission. Any other role with this permission will also receive notifications.

It appears that the line "The Apptio application can send out a separate email notification based on the validity of the data that was uploaded. The Apptio application notification will be sent to all Apptio application users assigned both the Admin and Datalink Admin roles" is incorrect. I believe it's sending out emails to anyone assigned to either role. Is that as designed?
