  • 1.  Vendor Invoice - Line Item Details

    I am looking for some ideas on how did you manage getting vendor invoice line item details for your implementation. We are able to get invoice details but are having a challenge getting individual line items from invoices as they are not captured in our ERP/Invoice Payable system. The only option available is to manually create excel files by copying data from PDF invoices and uploading those into Apptio.

    Looking forward to some insights on this. Thanks in advance.

    I wonder if you can get a report that includes your Purchase Orders that might have each line item broken out? If you could import the POs and link them using the invoice number to the AP report, that might get you what you are looking for. It all depends on the kind of PO data you can pull from your ERP.

    @Keith McCarraher Thanks Keith, appreciate your response on this. Yes, one of the option is to pull PO details but we have observed that all invoices do not have POs where there are agreements done on annual basis. For example - Someone like Microsoft may invoice for monthly licenses used while there is no PO issued.

    Good morning Gopinath,

     

    We had the same thing happening. To combat the issue, we now issue annual POs for subscriptions and break down the fees in the PO line items. So, nothing is paid without a PO associated with it. Its a change in internal policy and procedure, and you have to get the vendors to reference the PO on their invoices. But, it was an added layer of validation for the company on subscription costs. And, you can create PO burn-down reports out of Apptio, which are helpful for budgeting.
