    We have Jobs that send Reports via email.
    Some just have the explicit email address listed.
    Some use the Directory Entry, so I see the person's name.

    When you use the Directory Entry and then let's say the person leaves the company and his directory entry is removed, you see "Unavailable" in the Job definition for who the report is being email to.  So now I don't know who was getting the report.  So since I don't who was getting this report, I don't necessarily know who should be sent the report now.
    Question:  Is there anyway to get who was getting the report when it says "Unavailable"?
    Question:  What is the Best Practice, use the Directory or type in the email address when defining the Send to recipients, when setting up a job to Email a report?

    Hi David,

    I have used contact lists for that purpose before. The person you are seeing as 'Unavailable' is the missing Active Directory entry. On another live thread in this community someone mentioned they used Motio PI to be able to see the emails that reports are going to. The email addresses are also in the cognosserver.log file but they take a bit of finding.

    In terms of best practice I don't think there is one, I personally either type the email addresses in our if it a burst report they reside in the burst lookup table. I have used contact lists in Cognos Admin quite a while ago for reports but not tried that in 11.1.

    I'll take a look at the Distribution list feature. 

    I'll also take a look at Motio PI and cognosserver.log.
