Sometimes it requires a pandemic to make hard hit decisions and evolve the entire way the business is run. It all started when Covid hit the entire globe and as all businesses had to review their costs. Our company was no exception, after lot of discussions and round tables, the company initiated "Cost Optimization Program" to majorly Review, Control and Optimize the overall cost.

The main idea behind this program was to find the top cost bearers by Business units or Departments and review where these costs can be controlled or optimized. This could mean labor cuts, services suspensions, vendor cuts etc.

Once we started off with the program and I was given the tasks to feed in the data into Apptio and check the reports for better outcomes. I started off with the cost model checking the cost flow and picking up gaps and realigning them to stakeholders. Well, it's sometimes good to check the OOTB reports and Apptio Value Explorer to gather more information and in one such activity, I found the Application portfolio which gives an insight on total App Spend (App Run +App Dev). As an old organization we had a lot of on-prem apps developed and run by us to cater to the requirements of different departments/BU.

I dug deeper and realigned with stakeholders to get more data and granularity. The main outcome of this exercise was to find out the total costs we spend developing the apps (Labor, network, Infrastructure, computing, servers etc.) and also running the Apps(Labor, Maintenance , security , etc.). This gave us a lot of insights on total App Spend of each of these On-Prem Apps.

Once these reports were submitted to stakeholders a series of discussions took place, a number of comparison analysis were conducted, and it was decided to migrate our top on-prem apps to SAAS and this led to 40% savings.

• Having the required data to drive granularity is very important
• Sometimes you start with a different outcome in mind but mid way you can always find a better insight and outcome which change the whole perspective so its good to keep digging
• Updating the finding at each stage to the stakeholders can give better directions and interpretation
• Always keep the organizational goal in the big picture
