Editable Tables

    I was wondering if anyone uses editable table for allowing end users to update / enhance data in apptio.  I have create a process using an editable table on a report to put project information in about actuals. 

    1. The next step is to save the data to the editable table 
    2. Publish the data to the transformed table.
    3. Data is looked up from the cost source to the transformed table.  

    Is this how you use editable tables or do you have different use cases.

    Similar to what you said is my experience. 

    At my old company, we had an editable table that had a list of vendors, cost centers, and other metadata from the ledger. We had a report that showed all the vendor/cost center combos that needed to be mapped to a tower. Ideally, the user would go in to the report and map the vendor/CC to the tower.

    1. That data is saved in the editable table.
    2. A "regular" table that used the editable table as the source and had all our pipeline steps in it (formulas, etc) .
    3. Referenced that regular table when we needed that editable table data (lookups, lookupex, etc)

    We would have one lookup return a concatenated "key" field that was just split out in its final destination.

    We don't use the full set of capabilities, i.e. we don't promote the data. We use it instead for simulation exercises:

    We have a report that displays the number of servers related to an application. One column allows the application owner to enter a new number of servers, and the report will calculate the new monthly cost.
    Apptio keeps the data (in PRD), but it updates nothing, nor does it trigger any calculation jobs.
    For our use case, data is volatile, so we don't have to run it to the process as described by @Michael Enslein.

    I've been struggling with a novella about TBM adoption​, which is causing me to lose sleep, as I cannot quite find the story 😮😮😮👀👀👀

    @Guillermo Cuadrado - The most successful adoption I've seen is when TBM was embedded in processes.  At a prior gig, it was part of the project process - no one could get a business case approved by Finance without submitting their business case with their TBM numbers.  Finance would then determine the hard and soft savings that would result from them retiring certain apps (perceived benefits of the new thing they were requesting).  If apps/services were going away as a result, of course not all resources/infrastructure would be retired, so that would be seen as soft savings as the resources would be used elsewhere.  Any infrastructure that could be decommissioned or any contracts that could be closed out or reduced would go in the hard savings column.  As a result of having TBM included in the overall project process, IT and Finance were in lockstep.  Very nice! ​

    I have resurrected the original post from 2020-Bill and the 'Rat Pack' (link). I still need to update it, as it's missing the reference to the editable tables, as per this topic. That's how I built the simulation engine. More details, next week.

    Editable Tables and the Table Upload feature can enhance the value of your TBM processes by federating out data maintenance to the data owners or those who best understand the data.  Here is a set of use cases enabled by editable tables which I have seen across different companies​:

    • Budget Variance Commentary - column to explain large variances
      • Drive Allocations - labor allocations table upload, GL line item allocations (% split mappings), Cost Source to cost pool, tower mappings
        • Capture Actual Volumes for BU consumption / chargeback - Table Upload feature for app/service owners to upload tables on the reporting surface
        • Data Cleansing / Enhancement – GL - enter flags for re-postings; cleanse GL actuals then feed to ITP for accruals and reclass line items that are missing vendor/supplier info
          • Reference Files for ApptioOne Plan / IT Planning  – used to maintain reference files shared with ITP
            • Row Level Security – maintain permissions
              • Service Catalog / Rate Management – maintain pricing information
              • End User Insights – (new Apptio product) - enable end user device table maintenance
              • Planning - capture # of planned labor hours
              • Demand Planning - (new Apptio product) - capture the projected volume consumption

                @Ed Hayman Thanks for the examples but one of the issues I am having is dealing with large volumes of data.  I am not sure if is in our environment or how the report is set up.  Currently, I have an editable table that helps map our CapEx data to project information.  It is only around 600 rows of data but if I have to reload that data.  I have to copy and paste the data into 200 or chunks of data and then save it each time.  it would be nice to be able to import larger data sets.

                Have you tried using regular tables with lookup or tablematch functions vs an editable table?  Why is the editable table used - do folks update the data there directly within Apptio?

                @Jenny Franklin This issue is that our source systems are very old legacy systems and we can not capture the project information before the data is loaded into the GL systems.  This leaves Apptio to capture the GL data and then have rules that can tie the data to the project information for reporting.  We could just have this as a normal load table but I was trying to get the Users more ability to update the data without TBM Admin stepping in.

                @Michael Enslein  Are you maintaining the editable table information in TBM Studio or in an Editable Table report component?  If in TBM Studio, I recommend you use the Editable Table report component that may require you to submit a support request to enable it in your environment. 

                The Editable Table report component provides a download and upload feature to export and/or import directly from the reporting surface.  Assuming you get a new list of CapEx data each month, it would be an easy "upload" without having to copy/paste 200 rows.   ​​
