Leveraging Onboarding Application Template for IBM Business Automation Application Designer and other platform's capabilities to drive efficiency across your business

IBM Business Automation Application Designer is a low-code tool in IBM Business Automation Studio that enables business users to build business user interfaces, called applications, that integrate the capabilities from the platform.  To allow business users to quickly and easily build an application, in 20.0.2 June 2020 release, we have delivered 3 sample templates which can be used as predefined starting points to create automation applications that suit your business needs. 

 

These templates provide examples on how you can build applications for the common practical scenarios and here are the 3 templates delivered:

(1) Onboarding Application template - Use this template to build an application that onboards new employees or vendors to your organization

(2) Exception Handling template - Use this template to build an application to handle basic refund or exception requests

(3) Request Approval template - Use this to build an application for submitting service desk requests. 

 

To allow the application templates to be executable even if not all the platform's capabilities are available, sample data are used to illustrate how the application can be used.  However, you can benefit from the various platform's capabilities and Cloud Pak for Automation offerings to have a fully functional business automation to drive efficiency across your business.

 

In this blog, we would like to talk about how you can use one of the templates above, Onboarding Application template, to build an application that will streamline your onboarding process by potentially leveraging various platform's capabilities.

Above is the page flow for the Onboarding Application template.  There are 2 main pages: (a) Home Search page and (b) Candidate Details page. 

Home Search page

The onboarding specialist starts from the Home Search page to apply a filter to search for the candidate that he/she needs to onboard.  Within the Home Search page, there are 2 sub-tabs: (1) the onboarding specialist can either use the first sub-tab to search for the job posting and then find the candidates associated to the corresponding job posting; or (2) the onboarding specialist can use the second tab to directly search for the candidates based on the candidate name, status and type.

Services (Actions) for Home Search page

Potentially, IBM Business Automation Workflow can be used to handle the process of making an offer, validating and onboarding a candidate.   Content Services Designer can be used to handle collecting the necessary documents for onboarding.  Decision Services Designer can be used to determine the list of documents required depending on policies or employee type. 

To search for the candidates in the Home Search page, potentially, a Service (Action) can call a service flow from IBM Business Automation Workflow to get the list of candidates.  Similarly, to search for the list of job postings, a Service (Action) can also call a service flow from IBM Business Automation Workflow to get that list. 

 


Candidate Details page

After the onboarding specialist finds the candidate that needs to be onboarded, he/she can click the Candidate Name in the search list to go to the Candidate Details page.  The middle section of this page shows the list of required documents that need to be collected for a specific candidate in order to onboard the candidate.  The bottom section of this page is a Content List view that shows the list of documents for a specific candidate that are already uploaded to the FileNet Content Manager repository.   The top section of this page shows the status whether the candidate is ready for onboarding depending on whether the required documents listed in the middle section are uploaded (collected) or not in the bottom section. 

 

Toolkit and Services (Actions) for Candidate Details page

In the middle section of the page, to show the list of required documents that need to be collected for a specific candidate, a Service (Action) can potentially call a Decision service from Decision Designer or IBM Operational Decision Manager which will return the list depending on policies or employee type.

In the bottom section, to show the list of documents for a specific candidate that are uploaded to the FileNet Content Manager repository, the Content Toolkit containing the Content List View can be used and below is the link with more details about the Content Toolkit.

After all the required documents are collected, to update the hiring status and start the onboarding process, a Service (Action) can call a service flow from IBM Business Automation Workflow to update the status and then start the onboarding process.
