    This is the story of how I drove Business Value using Apptio...

    The Bank's variable consumption costs (Public Cloud, Storage and End user) continues to rise at a seemingly uncontrollable rate. Global Technology Services (GTS), the enabling area in Technology that manages the contracts and pays the invoice, is running out of productivity levers it can pull to manage consumption. End user teams in Technology (BU CIO Teams) that consume these services have little visibility of their consumption and have no direct incentive to manage it.​

    To address the question of how can consumption costs be effectively managed within Plan across Technology, taking into account the needs of Business Units and the responsibilities of BU CIOs and GTS, Technology LT endorsed the following opportunities to pursue in FY2023 as formal KPIs for respective EGM areas, sighting everybody has a role to play in the journey towards SMART Consumption:

    ·         Up to 25% of consumption optimisation relating to Cloud

    ·         Up to 14% of consumption optimisation relating to Storage & Backup and EUX

    With actual consumption data (Public Cloud ingested from Cloudability, Storage and End User from multiple managed services providers) already in Apptio One, we leveraged the power of Apptio to provide EGM Performance Leads and consumers with transparency and visibility over Technology consumption spend and the ability to track the against set KPIs on a monthly basis. 

    After ingesting the Plan KPI data from GTS, we created a custom model to combine these with Actual consumption data to generate a report featuring:

    ü  View of Actuals vs Plan (KPIs)

    ü  Views by EGM Technology areas

    ü  Views by Application and consuming BUs

    ü  MTD, MTD Trend and YTD views

    ü  Views by Application, Server Environment and Vendor

    ü  Tables with details down to workspaces, servers, users also made available

    ü  Slicers by EGM area and BU hierarchy

    In addition to the new reporting capability, GTS ran training sessions to help our people build basic capability to optimise consumption using Cloudability in the AWS and Azure environments.

    With clear accountability of consumption under SMART Consumption KPIs, there has been greater engagement with the Performance Leads and GTS Service Owners to optimise and curtail growth of costs.

    This was achieved with combined effort from multiple teams across Technology, Finance and TBMO with TMBO Change Managers documenting, conducting training, getting feedback for improvements.

    My involvement in this exercise was across all phases:

    Initial Requirement Gathering 

    Understanding the audience and their objectives, level of detail, key fields required and visualisations required in reports. This allowed structuring data sets much easier in the next phases

    Data Analysis

    Reviewing existing data sets to identify any gaps based on requirements. Ingest additional data required by specifying format required.

    Create Model 

    Transform required datasets and append to the modelled table.

    Create Report

    Build custom report off the Model as per requirements.

    Review and Feedback

    Implement changes from feedback received.

    Publish Report

    Assign report to a collection and promote to Production.

    Great outcome Anjesh. In addition to the consumption targets being part of my KPI's, what has also been helpful is the fact the report shows only the variable cost of consumption rather than the fully loaded cost, so the application team owners like myself know that when we reduce our consumption of these costs that we are saving real money and not just moving fixed costs to another part of the organisation. Well done to you and everyone in the wider team that helped make this happen.
