Configuring Reference Data: Project Financial Planning Dimensions (7 min)

Hi. My name is Harrison, and in this video, I will show you how to configure the dimensions for Project Financial Planning in IT Planning.

 

As an Admin or Budget Process Owner, you use the Reference Data component in IT Planning to upload and manage built-in and custom dimensions, and their attributes as well.

 

Dimensions are the essential data categories in budget line items. They are the custom data you use to capture and report on the additional budget details you need to manage your budget process.

 

In the Summary view, Budget owners can select any of the dimensions to view the composition of the budget spend in the Treemap chart, also known as the Heatmap chart, and the Waterfall chart.

 

In the Expenses view, dimensions are represented as columns that allow Budget owners perform standard column actions, such as grouping and sorting the data in the Expenses table.

 

To display the Reference Data dimensions view, click the Component menu and select Reference Data.

 

IT Planning displays the built-in and custom dimensions. You can directly edit some values of a few built-in dimensions, and then publish them to make it available for project financial planning.

 

The default dimensions that you directly configure for a project include Project and Project Group. In addition to these dimensions, you also need to configure the following dimensions:

  • Cost Object Permissions
  • Transfer Account Default
  • External Labor Pool, and
  • Internal Labor Pool

 

We’ll begin with the Project Configuration dimension. Click Project.

 

The Project dimension displays the project hierarchy and the relationship to cost centers and general ledgers. Each project in the table has a Parent Code value associated with it and are grouped together with the same parent code in the Project Group dimension.

 

Note:

  • The Parent Code field establishes a parent/child hierarchical relationships, where needed between Projects.
  • The Cost Center Code field is the identifier of the project's corresponding Cost Centers.

 

TIP: A project can be associated with multiple Cost Centers and can hold expense items (volumes, labor or expense) recorded against more than one Cost Center.

 

You can also edit the columns in the table by clicking Edit Columns. You can add a new column or rename an existing column, and when you’re ready, click Done.

 

To download the Project template, click Export Template at the upper right corner of the screen. The template is downloaded as a dot csv file, which you can edit as per the requirements. You can also export the data in the table to a dot CSV file, make changes to this file, and then import the file by clicking Import. To edit a column within the dimension, click Edit Columns.

 

If the data is ready to be made available to the plans, click Publish. If you need to remove the changes you made, click Revert.

 

The Project Group dimension represents your preferred organization's project structure for budget planning and reporting roll-up purposes. Subordinate groups are grouped under a Project Group, which can also include individual projects

 

Once you’ve set up the project groups, IT Planning displays the project hierarchy in the Plan Sub-Section menu and in the Projects Summary view.

 

To download the Project Group template, click Export Template at the upper right corner of the screen. The template is downloaded as a dot csv file, which you can edit as per the requirements. You can also export the data in the table to a dot CSV file, make changes to this file, and then import the file by clicking Import. To edit a column within the dimension, click Edit Columns.

 

If the data is ready to be made available to the plans, click Publish. If you need to remove the changes you made, click Revert.

 

Next, you can set Cost Object Permissions for Projects using the Cost Object Permissions reference data. The Cost Object Permissions reference data determines:

  • Who can edit each project?
  • Who can approve budget plan submissions?

The Transfer Account Default dimension helps Project owner, Service owner, Business Relationship Manager and the Business Unit Owners determine the correct allocation of money for consuming or supporting various projects or services.

 

Note:

  • Both the Transfer In Account and Transfer Out Account columns require the users to provide the Account Code for import.
  • Refer to the table for the allowable combinations while entering Provider and Consumer data.

You can also export the data in the table to a dot CSV file, make changes to this file, and then import the file by clicking Import.

Finally, we have the External Labor Pool and Internal Labor Pool dimensions.

 

You can define external labor pools to capture the direct external labor cost for your Project or Service.

 

You can define internal labor pools to capture the indirect internal labor cost for your Project or Service.

Hi, this is very out of date!  Could this please be updated to show how Reference dimensions are now configured, there is no Reference data dropdown any more, Thanks!
