Terex wanted to improve our budgeting process. A year ago we started on this task. We were asked to budget at a detail level, produce reports to assist with the budgeting/forecasting process, meet CIO and business needs reporting; produce the budget presentation slides in Apptio. An additional need was to collect data to be used in vendor insights.  Overall we wanted to utilize Apptio as the source of truth and the central source of IT financial reporting not only for corporate, but for the segments as well.<o:p></o:p>

At the time the budgets were planned outside of Apptio and then entered in IT Planning at a summary level by account and department. We were collecting data in Apptio, but the process itself was still manual.  The OOTB reporting in IT Planning was couldn't provide the detail we needed. The review of the budget vs other cost, forecast, and budget versions was completed by exporting data into excel and the segments were still producing their own reports in excel. The budget presentation was created manually by each business unit. For the most part, they didn't have a consistent source to tie to the numbers.  <o:p></o:p>

We have changed from budgeting in ITPF at a summary level to budgeting at a detail level for assets, vendors, applications, labor, contracts, and capital expenditures. Previously, Terex had limited visibility into the source of our IT spend. Our budgeting process is now streamlined by allowing Apptio to drive the budget from the bottom up. Now, we are able to perform detailed reviews of our expenses monthly including upcoming contracts, asset purchases, headcount planning, and a financial scorecard review. This has allowed us to manage our variable spend bringing our overall results to within 2% of our budget. <o:p></o:p>

We created 75 new reports with 174 views for budget reporting which assisted us in our budget process of comparing what we have out there to next year's budget as we are doing it. With the custom reports we were able to eliminate most of the manual creation of the budget presentations to Terex and business Unit leadership. We now have resource detail reports to compare Assets, Labor, and Contracts at a transaction level for all 5 of our standard plans. We added custom reporting and dashboards for our CIO.<o:p></o:p>

Due to this budget process improvement, the business units have a better understanding of their budgets. The custom reports have driven a better acceptance and usage of the CT reports.
