  • 1.  How to create snapshot of a Cognos report?

    Hi,

    I have not been able to create a snapshot of an existing report in Cognos analytics stangely.
    Urgently need to create a copy of the original report that provides a snapshot of the data at that point of time so that a user can run and view anytime.

    All I am able to do is create a report view of the original cognos report that is not equivalent to a snapshot as when the user runs the report view, it shows the latest data. Is there a clear way of creating a snapshot that can be run/accessed anytime by a consumer??. We are using Cognos 11.1.7 and need a solution urgently. Any help will be highly appreciated.

    Hi Mack,

    I'm puzzled. Let's try to explain.

    I assume you have data, and it is updated at least once a day. 

    When you create a report, there is no data within the report. You will have data into your report output (HTML, PDF, and so on).

    In the portal, you will be able to save n versions of this report output. You can choose to save up to a number (occurence), for instance 5 versions (it could be from Monday to Friday if this report is scheduled) or a duration (up to 10 days, months, etc...):

    You might also want to save the report output to the file system, so you would be able to manage previous versions (snapshots).

    You need to change the report output version for every report you want to monitor.

    Hi Patrick,

    In order to get what was needed, I created a report view of the original report and ran it in the backgroud using the run as option (the default portal action being view most recent report output). Now the report view has one output  version (snapshot) which simply opens up when the user clicks on it.

    Secondly, I found that I can save an output version in cognos only when I run the report in the backgound using 'Run as' option.

    Hi @Mack L You can also try changing the value of "Default Portal Action" in the Report > Advanced Properties of the Report (or Report View)​ from "Run the report" to "View most recent report".

    I agree with the feedback here.  Sounds like you can combine the feedback to have the report on a schedule to run and save it to Cognos.  Then modify the default portal action so that any time a user clicks the report to view/run it... it views the most recent report saved as opposed to running it again and changing the data.  This is common for time-based reporting, like quarterly reports and such that need to always show the same data until the next quarter comes, and scheduled run and save.

    Hi Mack,

    there also one other option: you can let the reports run and save it automaticly to a file system as PDF or Excel. The big benefit is that you have an better overview in the file system as in cognos portal of your report snapshots.
