The TRIRIGA Data Integrator is very useful when batch updating existing records in draft status, but what about when a need arises to batch update hundreds of records already in active status?  We are in the process of updating our location records (properties, buildings, floors, etc.) and the business users are providing me the data in a spreadsheet format that would normally be used to create the tab delimited text file to upload records into the system via data integrator.  But many of the location records I am being asked to update are already in active status and are being utilized by the end users.  I was wondering if there is some trick to change these existing records back to draft status so that they can be updated using data integrator, but I don't know what the inherent risks would be to the existing processes in the system that reference these location records.  I was also wondering if it might be possible to create a custom workflow that could revise the existing location records, and update the record data with data loaded into the triHelper module.  But unfortunately I do not yet possess the technical skills needed to develop a custom workflow.  This must be a common issue that TRIRIGA admins must address from time to time, so I hoping someone out there has already developed a custom solution to this type of issue and would be willing to share it with the rest of us on the forum.  And FYI, I'm working with TRIRIGA platform 3.6.1 / application 10.6.1.

    Hi Mike,
I don't use DI much these days but I did  use it last month to update a few space records. I'm not sure about your particular configuration but records should not have to be in DRAFT state for DI to update them. Maybe for certain procedures that might be required and if you have required fields that you want to leave null for some reason the DRAFT state is helpful. You might try running a test file in your non-prod environment and see what it lets you do. The documentation can be frustrating at times so hopefully more experienced users can chime in here. There are other blogs that discuss DI as well (like tririgafeedia).
As far as I know you cannot revert records back to DRAFT. Once activated I think only a backend DBA can system delete the record.

    Good luck

Well I'm happy to say that it appears you are correct and I was absolutely incorrect about being able to use Data Integrator to update existing active status records.  When I initially encountered the data load issue I wondered if it was because the existing records were in active status instead of draft status.  So I rewatched an introductory training video that IBM provided us on using Data Integrator and at one point the instructor made a comment that I understood to mean that updating existing records with Data Integrator would only be successful if the existing existing records were in draft status.  So in my mind that explained why my data load was failing.  But in response to your comment, I took another look at the issue and discovered the building record data I had been provided to upload included the building name in the parent hierarchy patch value.  And I had somehow overlooked this during my initial troubleshooting of the issue.  So this is a big relief to realized that I can use Data Integrator to upload existing active status records, because I was concerned about how I would get around that limitation.  Thanks again!

As you have found out the state of the record does not matter. The only real requirement is that you have the fields that make up the publish name of the object as part of the load. That way it can find the correct record to update. There is one caveat however, and that is if the control number is used in the publish name you will not be able to update the record with DI. Any attempt to do so will create new records.
