Navigating Cost Transparency and Using Apptio Reports (8 min)

In this video, you will navigate Cost Transparency to find the required reports.

Hello! My name is Felcy. In this video, I will show you around Cost Transparency so that you can find the required reports.

First, log into Apptio Cost Transparency using the credentials provided to you.

This is the Service Costing page.

The bar across the page is the Global header. You can use this space to go to different report collections and to select a time period from the calendar picker. The data on the reports vary every month. So, it is important to select the correct time period when viewing reports.

This is the report viewing area. Here you can see all reports in the Cost Transparency application, which are organized by areas of interest as well as hierarchically. There are over 50 reports in the Cost Transparency application, which are usually organized into the following groups:

  • TBM Review
  • IT Financials
  • Labor
  • Vendors
  • Infrastructure & Cloud
  • Applications
  • Services
  • Projects
  • Business Units
  • Benchmarking

The groups and labels may be slightly different at your organization.

Click any link to go to that report collection.

You can see all reports in this collection in the report navigator. Click any report from that navigator to go to that report. If you want to return to a report quickly the next time you log in, you can save the URL of that report.

Click the home icon to go back to the service costing page.

Now, let us look at some features of Apptio reports that help you analyze information.

We will be looking at different reports to understand the different features, as all features might not be used in a single report in this domain.

First, go to Applications.

These white boxes at the top show the key performance indicators. These are usually displayed at the top of a report.

Interactive charts

You can customize the charts on a report to highlight the data you want. Click a label in the legend of this chart to remove that value from the chart, and click it again to add it back. If you move the mouse pointer over the elements of any chart, a tooltip will display the value of that element.

In line charts, you can zoom into specific time periods by clicking and dragging the mouse pointer horizontally across the chart. Click Reset Zoom to reset the chart.

You can also right click a chart and select Show as Table to see the values in a table pop-up.

Click Close.

Drills

Go to Application Detail.

Text marked in blue in a table are drills. These are clickable – if you hover over these text, your mouse pointer will become a hand pointer. For example, click Oracle CRM to drill down to more details on this application.

Click Close.

Column pickers

Go to Application List. These checkboxes are column pickers, which allow you to add more columns to this table. For example, click Application Family to add that column to the table.

Slicers

These are called slicers. You can select the values in slicers to filter the tables and charts in reports.

In the Slice by Family group, select Customer Service. You can see that the table is now filtered to show rows relevant for Customer Service only. Click it again to remove the filter. You can also use this icon to reset a slicer.

You can select more than one value in a slicer by holding the Ctrl key when you select the values.

Tables

You can sort a table using the values of a column by clicking the column header and selecting the sort option. You can sort using only one column at a time. The column that has been used to sort a table will have an upward/downward arrow next to the column header. You can also drag the columns in a table to rearrange them within the table.

When you click a column header, you can also use the Show Values option to see all the values of that column.

You can also use the search field below the column headers of a table to search for a text or number. For example, let us search for “Alex Smith” under the Application IT Owner column. The table now shows the applications owned by Alex Smith. The search option is not case sensitive. You can preface a text with the “!” symbol to search for entries that do not contain that text. For example, if we search for “!Alex Smith” we can see all applications that are not owned by Alex Smith. To search for empty cells, type BLANK in the search field, and to search for cells that are not empty, prefix it with “!”. This is case sensitive. It should be all caps only.

For numeric columns, you can use the standard operators: =, <, <=, >, >=, !=.
