Hi Everyone,

Could anyone share an editable proposal boilerplate or standard response template for IBM Instana Observability to assist as BP with upcoming RFI/RFP responses?

Any Word materials would be extremely helpful.

Hi Akram,

we respond to Instana RFIs and RFPs on a regular basis as a Business Partner, so let me share how we handle exactly this.

First, the straight answer: to my knowledge IBM does not publish a public, editable Word boilerplate for Instana proposals. The ready-made material for partners lives in Seismic, IBM's sales enablement platform, which you access with your Partner Plus credentials: that is where IBM puts sales kits, sales plays, presentations and use case decks for the whole portfolio, Instana included. That would be my first stop, searching for the Instana sales kit in there. If you cannot find what you need, your IBM Ecosystem partner rep or your distributor can usually point you to the right asset quickly. The general entry point for partner assets is here:

One honest note on this: most of that content is partner-only, which is probably why editable templates do not circulate freely on public forums. I would be careful about reposting Seismic decks publicly anyway.

That said, there is plenty of public material that goes straight into a proposal:

2.⁠ ⁠The official IBM Docs for Instana and the product pages, which are where I pull the wording for the technical questionnaire sections (deployment options, supported technologies, security, data retention and so on). Quoting the official docs keeps you safe when the RFP answers become contractually binding.

And here is what actually made our life easier: we built our own master Word document once, and we keep it alive. The structure that works for us is executive summary with the TEI numbers, solution overview, key differentiators (1 second metric granularity, automatic discovery and instrumentation, always-on distributed tracing, SaaS and self-hosted deployment options), a reference architecture mapped to the client's stack, licensing and sizing approach, implementation plan and services, support model, and references. Next to it we maintain an answer library: RFI questionnaires repeat a good 60 to 80 percent of the same questions, so every RFP you answer feeds the library and the next one gets dramatically faster. In my experience that beats any generic boilerplate, because the document speaks your company's voice instead of IBM marketing's.
