  • 1.  Group Mail-Box within Schedules

    All,

    Within Cognos you are able to schedule report(s) with sending mails.
    But when creating a schedule, you are the 'owner' and send-reply person.

    Is there a way to create a schedule and add a group-mailbox / team-mailbox instead of a personal mail-box ?

    When end-users receive a scheduled mail, they normally reply - to the creator of the schedule - and not a team-mailbox.

    How can I create a schedule with a reply to a team-mailbox ?

    Hi Chris,

    the only way I know, and use is to set a default sender in Cognos Configuration\Data Access\Notificaton. You just have to add an extended property to the DeliveryService called "alwaysUseDefaultSender" and set it to true. The system will then always use the stated senders e-mail address instead of the schedule owner. But this is a global setting.

    If you really want to have different group-mailboxes setup for schedules, I can only assume that it should be possible to create technical users which have the corresponding e-mail address set up in their profile and create the schedules with them.

    Thanks for your reply.

    I also thought about this option, but the situation is we have different teams responsible for different data-marts.
    So, we need different team-mail addresses available and can't use the one within Cognos Configuration.

    Creating a 'technical' team-user is also not an option for us.

    Would be great if there was a field available within the creating of a schedule we could use as a team-mail box, don't you agree ?

    Hi Chris,

    yes I agree with you. a way more flexible feature would be great. a simple field which states "Send by:" could be a solution. I guess the only way to track that with IBM is to create an IBM idea on their platform.

    Thanks, but it looks like IBM doesn't see the benefit of this request.
    There are more requests for the RFE.
    I got only the status "Not Under Consideration" but don't know what's the reason.

    Hi Robert,

    I like IBM is asking for feedback of clients on this (or other forums), but I dislike, it looks like IBM is doing nothing with this.

    This issue is a request of many companies all over the world and I don't understand why this is not already fixed.
    Created a few RFE, but looks like it's not importent to implement.

    Still I keep trying to get this fixed.

    @Chris Bos – this is how we do it at our shop, but there are many other ways you can do this:

    1.       Is there a way to create a schedule and add a group-mailbox / team-mailbox instead of a personal mail-box ?

    a.       Yes.  We use Outlook distribution emails and enter in the email address in the "To" field of the scheduled report

    b.       You could also use Cognos Distribution Lists, but not in favor of this as the recipients will change frequently and option "a" above allows the business to manage the Outlook distribution

    2.       How can I create a schedule with a reply to a team-mailbox ?

    a.       As you can see, the "Sender" is always the user that schedules the report.

    b.       What we have done is:

                                                                   i.      Created a Windows Service account that doesn't have an associated Outlook account.

                                                                 ii.      In Cognos Configuration, we enter in the email address of our "Team Mailbox" (e.g. myteam@mycompany.com)

                                                               iii.      Reports that are scheduled by a user (the Service account above) that do have an Outlook account associated will default to the email address set up in step "ii"

     

    I know it is a bit wordy, hope this helps, please advise if you need clarification.

    Hi Peter,

    Thanks for your reply, but as you can read, it's not an option within our environment(s).
    I'm aware of the option within the BI Suite, but it currently it's not possible and it looks like IBM doesn't understand the request of many customers.
    There are more RFE's created for this issue, and to me the solution is not hard to implement.

    I still like working with Cognos and the road map is great, but sometimes I don't understand why 'simple' customer requests aren't implemented.
    The only thing I can do is ask customers and developers to vote on the RFE's.
