We are excited to share another enhancement designed to streamline your ESG reporting workflows within Envizi.
Late last year, we introduced disclosure statuses for the first time within the Sustainability Reporting Manager (SRM). What was previously a simple container for your responses evolved into something that has the beginnings of a structured workflow - a reflection of how many of you are already managing disclosures in practice.
We first introduced Draft and Active statuses to distinguish between two key phases of a disclosure: Draft, where System Administrators or Disclosure Owners configure the disclosure, determining which ESG frameworks to report on, who should provide data, when responses would be due; and Active, where data providers and reviewers begin collaborating to complete the disclosures. These two statuses define when the disclosure is visible and notifications can be sent out.
What's new
Today, we introduce a third status: Archived. Archived disclosures are designed to be read-only, point-in-time records of what your organization has completed, so that you have an immutable version for documentation ready to be used if you need it for audit purposes.
Archiving also makes it easier to prepare for future reporting cycles. When the next reporting season starts again, you can create an editable copy of your archived disclosure and carry forward all the responses in one action. Compared to an individual copying of responses, this saves you time and reduces repetitive work. Even better, the editable copy created uses the latest version of the questions in the Envizi library, while the archived source remains unchanged and preserved exactly as it existed at the time it was archived.
Why it matters
This addition further reinforces the idea that disclosures have a lifecycle of their own, from set-up to completion and record retention.
An important note - as archives represent finality of this lifecycle, archiving is a permanent action and cannot be undone. Because of the significance of this action, we intentionally treat it differently from Draft and Active. While you can switch between the two within the 'Edit disclosure properties' dialog, archiving requires explicit action from the Actions menu when a disclosure is in the active state. This additional step is there to safeguard your work and prevent accidental changes to your disclosure records.
